Participant Active Enrollment Report (AESER) Explanations
The report selects Participants who are, or have been, active in a class during the selected Program Year and
entered Begin/End Dates. To Illustrate:
- Only the Class Enrollments of a Class that has an End Date within the selected Program Year and entered
Begin/End Dates (inclusive of these dates) are used to narrow down the population of participants.
If a participant is not enrolled in any Class OR is ONLY enrolled in Classes with enrollment dates outside
the selected Program Year and entered Begin/End Dates, that participant will be excluded from the report results.
- The Participant's Class Exit Date in at least one Class must be either blank (null) or between the entered Begin/End
Dates (inclusive of these dates) to be included on the report.
- Assessment and Attendance Hours data across all Program Years of the Registration are included in the output, and
displayed on the participant top-header row in the "Instr. Areas" and "Total Hours" columns.
- Participants in the report population must also meet any other entered selection criterion such as
Funding Source or Instructional Area. These extra criteria are used as follows: if any is selected, it means that
the participant is enrolled in some Class that is funded by the specified fiscal agent and/or provider and/or funding source(s)
and/or Instructional Area(s) as specified in the report parameters. Please note that this class does not have to fall
within the report begin/end dates: it is enough that one such class enrollment exists within the report program year.
- Participants may be enrolled in more than one class during the report period but they are only included once on the report.
- Since Cohorts are determined at Exit, Cohort data will only be printed for Participants that have Program Exited. (Users
can run the Follow Up Selection report to identify Participants who need follow up done.)
- The "Report PY" column identifies in which Program Year the Cohort is to be reported. It also identifies in which
program year follow up is done because follow up for all cohorts is done in the program year that it is reported.
- If a Pre-Test has no corresponding Post-Test, then 5 dashes "-----" in the Ending EFL column are printed.
- Attendance Hours in the " * Hours" column are computed by adding the Attendance Hours between the Month the Pre-Test
was administered and the Month the Post-Test was administered, as well as any Make Up Hours. These hours are only the
hours pertaining to that rows's Instructional Area and Program Year. If not Post exists, the month of the report end date is used above.
- The "Total Hours" data item prints the Total of all Attendance Hours by Instructional Area for the Registration across all
Program Years. This number can be higher than the total of all the entries in the " * Hours" columns. This is because a
a Participant may attend a Class in a Month after their Post-Test was administered.
- If the Participant is System Exited, the term "(System Exited)" is printed underneath the Exit Date.
- Rather than printing the EFL Name, the report prints the EFL Level. This makes the report easier to read and allows the
User to see how the EFL Gain or (Loss) was computed.
- Rather than printing the Test Name, the report prints the Instructional Area of the Test.
